Unified system for access, booking and effective communication between the building owner and tenants

The owner of more than a dozen large office buildings, sharing their spaces among many tenants accustomed to different tools and systems, decided to address their reported problems with access and bookings by introducing a single system that would respond to their needs and facilitate communication between building management and staff.

  • The client wanted to implement an app that would be a genuinely useful tool for navigating around the building, rather than just an interesting gadget.
  • There was a strong emphasis on supporting team building and community initiatives in the buildings and delineating effective communication channels between the manager and tenants.
  • The client required a flexible booking system tailored to the full, diverse range of its building stock and to maximise the efficiency of its use, while taking into account tenant requirements.

  • The marketing department needed a precise medium to send messages and offers targeted at a specific tenant or employee, while the administration required a better notification channel than emails, which often went unnoticed or were read too late.
  • A wide range of resources to include in booking options, and booking rules that vary from building to building.
  • Integration of disparate and isolated tenant booking systems into a single view that staff and managers alike could use on a daily basis.
  • The client requested that the application be made available to tenants under its brand, with a customised layout and additional functionalities.

Solution

  • By offering a system that integrates mobile access in conjunction with an asset booking panel, we have created real added value for the key stakeholders - owner, tenants, manager and building visitors.
  • The convenience of navigating the common areas of buildings has prompted many tenants to launch the platform in their leased offices as well and provide their employees with full access in one tool.
  • A dedicated ‘Newsfeed’ section was created in the app, which gave the administrator and marketing department the ability to create messages about key building events or customised offers. Newsfeeds can be enriched with images, attachments or links, and the group of recipients tailored each time.
  • The booking panel in the app contains all the resource types used by tenants, including parking spaces, meeting rooms, desks or lockers. Tenants can independently manage the resources they use in a centralised, shared view, while with administrators in mind, we have developed extensive settings that allow them to select the length and availability limits for booking each resource individually.
  • The ‘white label’ solution provided made it possible to harmonise the look of the application with the client's other services, while retaining the intuitive interface of the original platform.
