One platform for a complete portfolio of diversified office buildings

A real estate holding company, which manages an extensive portfolio of office buildings in Poland and Romania, including new developments as well as more than 20-year-old buildings, was looking for a comprehensive but quick and easy-to-implement platform to facilitate tenant access management and optimise the work of its own administrative staff.

The client had multiple buildings in its portfolio, completed at different times and by different contractors.

At the same time, the aim was to introduce a user-friendly mobile app, for all users, in all buildings.

This meant very high costs to upgrade the access control and lift systems so that they could be standardised and integrable with mobile solutions.

Almost every building was equipped with a different access control system, different versions of the lift and parking systems.

A full range of access points were present in the buildings, including office entrances, gates, lifts or garage doors and barriers - each requiring a matching of devices and access settings.

A desire to ease the burden on reception staff, while making it easier for visitors to navigate while maintaining full transparency and security of access control.

The need to implement the system without protracted and disruptive work in the building's busy communal spaces.

Our solution was aligned with existing systems, such as number plate readers in garages, in parallel introducing a whole new standard of convenience and modernity.

The guest management process has been dramatically optimised with access and bookings sent in the form of a QR code - without the need for the guest to download the app and involve the reception desk.

The total cost of implementing our system proved to be 60% lower than upgrading the access control system alone. At the same time, the client extended the life of the buildings' existing systems and avoided taking large areas of the building out of daily operation, resulting in a high level of trust and a smooth transition of tenants to phone-based access.
