Optimisation of avisation and resource booking in a cowork building
The owner of a network of friendly, well-equipped coworking spaces saw an opportunity to better adjust its office offering to customers' requirements, increase brand reach and create new sales channels through mobile access and bookings on a mobile app.
Situation
- The owner, who is also the manager of his properties, wanted to make the office members independent of the reception desk by means of a completely unmanned system guaranteeing entrance to the building, the lifts and offices, as well as entry to the garage.
- Members of the coworking space work at different times and days, but also in different offices, dividing their work between the locations provided to them by the client. Until now, they needed a whole arsenal of tools and codes to access them.
- The client's actively promoted ESG strategy saw moving away from plastic tools and print as one of its priorities.
- The client saw the app data as a resource to better understand users' space usage habits, frequency of visits and resource availability.
Challenge
- To present a platform that provides a high level of user self-sufficiency through extensive opening and booking options, but maintains intuitiveness in day-to-day use.

- Tenants using multiple locations do not need multiple cards; friendly and universal access via smartphone can easily be activated for interested tenants.
- Employees renting parking spaces can share their permanently assigned resources with other users while away from the office.
- The entire app, including lock and resource names, is available in multiple languages for different users simultaneously.
- The history of openings and bookings in the building can be filtered by key parameters in real time, exported from the app and forwarded for further analysis to support decision-making.
- Making selected spaces and resources available to people outside the office during off-peak hours has been met with enthusiasm by staff from surrounding services and students from a nearby student residence looking for a place to study in the evenings. At the same time, the building owner has secured a valuable source of money.
- An account on the app eliminates the need for a plastic access card, and access via QR does not require printing a code on paper.
